Excel - Insert Comments

Adding comment to cell

Microsoft Excel offers a very good feature of adding comment to the cell that enables you to add any details about the cell, which is very helpful in the future, or for any other person in understanding the cell and its values.
Comment can be easily added to any cell by following the steps illustrated below:
  • Go to the Review Tab in the ribbon on the top of sheet and ten click Comments and select New Comment option. 
  • Now go the cell where you want to add comment and Right click and choose the option of Insert Comment.
  • You can do the same using keyboard by pressing Shift+F2.
This will open the box where you can type the comment. By default, it will contain the name of the user, which is logged in, and you can overwrite it as shown.

Modifying comment

You can also change the comment in the future that was entered earlier, related to any cell by following the steps below. You can modify the comment you entered before as below.
  • First go the desired cell and select it.
  • Now on right clicking the cell, you will get the option of Edit Comment for modifying the previous comment. 
  • Now press on Modify Comment.

Formatting comment

Excel also lets you format the text that you added as comment for the cell. This includes various formatting options like changing the font, font size, color, etc of the comment. You can find this option by right clicking on the elected comment and selecting the option of Format Comment.

Text Boxes

Text boxes are special boxes used for highlighting the text by putting it into these text boxes. Text boxes looks very much like the comment box with the only difference that the text boxes are visible permanently whereas text box are visible only when you select a particular cell.

Adding text boxes

Text Box can be easily added by following the steps below:
  • Go to the Insert tab in the ribbon at the top of excel sheet and select Text Box from the options and then click the point where you want to insert it. By default, it will contain the name of the user and you can overwrite it.

Formatting text box

The text box can be easily formatted which includes changing the font, font size, alignment, etc of the text inside text box. Following is the list of the options available in formatting:
  • Fill : This option can be used to select a specific pattern to fill the background of the text box like gradient, solid etc.
  • Line Color: This option can be used to choose color for the font and transparency of the line.
  • Line Style: This option enables you to choose the style (Bold, italics etc) for the text and set the width.
  • Size: This option lets you change the size of the text box.
  • Properties: You can change some of the properties of text box using this option.
  • Text Box: This option lets you select the layout for text box, like internal margins, auto fit option and similar others.

Undo Changes in Excel Tutorial


Undo Changes

This option lets you revert to the previous state and undo the recent changes made to the excel sheet. There are two ways to executing this:
  • You can click on the Undo option present in the Quick access tool-bar.
  • Use the keyboard short key for Undo, Press Ctrl + Z
Undo option lets you erase of cancel upto last 100 changes that you have made in the Excel Sheet. All you have to do is click Undo that multiple times. There is an arrow on the right side of this option ash shown above which can be clicked to see the actions that you performed included an option to cancel all changes.

Redo Changes

There is another option similar to Undo, Redo which lets you reverse the action of the Undo in the Microsoft Excel Sheet. You can redo the changes in following two ways:
  • You can click on the Redo option present in the Quick access tool-bar.
  • Use the keyboard short key for Undo, Press Ctrl + R
